Job Description: 

The American Council for an Energy-Efficient Economy (ACEEE), a leading national nonprofit research organization based in Washington, D.C., seeks an Executive and Conferences Assistant. ACEEE is an independent, 501(c)(3) nonprofit organization of almost 50 staff members, founded in 1980, that acts as a catalyst to advance energy efficiency policies, programs, technologies, investments, and behaviors. 

Position Description:

The Executive and Conferences Assistant is a full-time position responsible for providing organizational management support to ACEEE’s executive team (Executive Director, Chief Operating Officer, and two Associate Directors) and conference program support to its Program Directors. The candidate must be comfortable coordinating with foundations, internal and external senior staff, and experts in the environmental and energy efficiency field. The successful candidate must be detail-oriented, organized, efficient, able to work independently, well versed in computer applications and social media. An interest in nonprofit organizations and their internal operations is preferred. This position will be an opportunity to gain insight into the network of energy and environmental organizations that are working towards a more energy-efficient economy.

Duties and Responsibilities:

  • Managing executive management team logistics, including scheduling meetings, arranging travel, and developing planning materials and agendas.
  • Supporting management efforts to maintain and maximize the use and value of ACEEE’s Microsoft Access contact database.
  • Supporting the Program Directors developing conference programs, including:
    • Coordinating conference planning committees and participating in their discussions.
    • Tracking speakers and moderators, drafting invitations, coordinating speaker logistics.
    • Drafting and editing program materials.
    • Providing back up on Web postings for conferences, and for social media outreach.
    • Managing presentation materials.
    • Tracking and managing communications with sponsors.
    • Assisting with other conference program tasks, as assigned.
  • Conducting research, summarizing reports and other documents, and obtaining information needed by the directors.
  • Coordinating communications with Board of Directors, and assisting with the preparation of meeting materials, meeting minutes, and other Board materials.
  • Tracking organizational and project deadlines, reminding staff and collaborators about staying on schedule, and maintaining project management tools, such as workflow schedules.
  • Providing support in creating presentations.
  • Assisting with the submission of proposals, reports, financial information, and other project deliverables to ACEEE funders and collaborators.
  • Drafting letters, memos, and other communications as needed. 
  • Editing and formatting documents.
  • Assisting with other tasks, as assigned.


  • Bachelor’s degree.
  • Superb organizational and project coordination skills, excellent writing skills, strong interpersonal skills, and must be tech savvy and a quick learner.
  • Demonstrated ability to work independently, exercising judgment and initiative, and should enjoy the challenge of working as part of a dynamic organization.
  • Must have advanced knowledge of MS applications (including Excel, Word, Access, and PowerPoint). Web experience (e.g., HTML/CMS) is useful but not required.
  • Must be comfortable working in a fast-paced environment and have excellent time-management skills. 
  • Educational or work experience in energy, environmental, or policy issues a plus.

Preferred Start Date: The position will be filled as soon as a suitable candidate is found. Position is based in Washington, D.C.  

Salary: $35k to $45k depending upon qualifications and experience, plus ACEEE’s generous fringe benefit package.
