Stantec's Geomatics team consists of a large and diverse group with capabilities across North America. Using conventional, GPS, robotic, and 3D laser scanning techniques, Stantec offers both public and private sector clients the full range of services including boundary surveying, topographic mapping, construction layout, geodetic and control surveys, aerial photogrammetry, GIS services, route surveys, wellsite and pipeline surveys, disposition surveys, as-builts, and more. Responsibilities:

We have an immediate opportunity for an Administrative Assistant to help grow our developing Oil & Gas Sector Geomatics group. You will need to have strong multi-tasking, organizing, and communication skills to provide administrative, operational and project-related assistance. This position will be ideal for an individual who takes pride in keeping the team well organized, running smoothly and being able to "think ahead" in providing requirements for this geomatics team.

Duties will include:

  • Records research and setting up job files on a daily basis
  • Coordinating deliveries of maps and plans to clients
  • Photocopying, Scanning, and formatting
  • Filing and Data entry
  • Liaising with other staff members and assisting with project administration (project correspondence, meeting minutes, schedules, maintaining database lists and confidential documentation)
  • Managing the preparation and processing of correspondence, reports, forms and templates
  • Coordinating the completion of proposals and business development initiatives
  • Travel arrangements, expense claims, project related systems management
  • Reception and vacation coverage when required
  • New Hire onboarding and setup
Qualifications:

The successful candidate will possess the following Qualifications:

  • 3-5 years experience working in an Oil & Gas based Geomatics or Engineering consulting environment preferred.
  • Able to work quickly and accurately
  • The ability to establish positive working relationships in a team environment with demonstrated ability to work with little or no supervision, and possess qualities of maturity, judgment and discretion.
  • A strong work ethic, excellent organizational skills, ability to meet tight deadlines, and eye for detail are all desired qualities.
  • Demonstrate proficiency in Microsoft Office including Outlook, Word, Excel, PowerPoint and Adobe Acrobat in a professional setting. Experience with MS Project and/or Prolog are assets.
  • Demonstrate the ability to learn and adapt to programs and processes quickly.
  • Have strong writing skills, including proofreading skills and typing accuracy for preparation of documentation and proposals.
  • A certificate or diploma in Office Administration is not required but is considered an asset.
  • Skilled at following instructions, requesting clarification if needed and following through with tasks
