The Membership/Administrative Coordinator is responsible for coordination of all office operations and database management at Friends of the Boundary Waters Wilderness. The individual must be passionate about working well with other members of our small team and willing to fully embrace the mission of the organization.  He or she works closely with the executive director, board of directors and the policy, communications and northern communities directors, as well as volunteers and interns.  The Membership/Administrative Coordinator is also responsible for shepherding important projects from start to finish, including grant applications and member events.

Primary Relationships

  • Works closely with the executive director on the organization’s overall budgeting and development plans
  • Works with staff and board on all aspects of organizational operation especially finance and development committees
  • Works closely with all staff and volunteers on events and communications to the public

Responsibilities

Primary

  • Manages office operations including phones, billing, deposits, expense and budget tracking
  • Coordinates membership transactions with donors and vendors to ensure the Friends meets its obligations
  • Directs grant proposals, reports and membership letters
  • Assists in development and tracking of annual budget
  • Develops and coordinates reports for board

Secondary

  • Coordinates and (potentially manage) volunteers and interns along with staff
  • Coordinates events including annual dinner, Sigurd Olson Lecture Series and special donor events
  • Researches program development opportunities
  • Assist with building and improving organizational systems
  • Has fun

Experience

  • Bachelor’s degree
  • One to two years experience working in an office environment
  • Ability to handle multiple tasks and meet deadlines while remaining detail oriented
  • Excellent interpersonal skills.  Ability to listen well and motivate others to action
  • Strong initiative
  • Proficiency in MS office applications
  • Willing to be a flexible member of a small but effective and passionate team that creates impact. This includes some evening and weekend work
  • Ability to handle confidential information – about donors, people, plans, and policies
  • Experience with customer relationship management (CRM) software preferred but not required
  • Passion for preserving the Boundary Waters Canoe Area Wilderness and its ecosystem
