Job Description: 

The Appalachian Mountain Club (AMC), the nation's oldest conservation and outdoor recreation organization, seeks an energetic, intelligent, independent, organized individual to serve as the Executive Assistant to its new President and Chief Executive Officer. From coordinating communications with prominent AMC supporters to successfully managing a busy executive's travel schedule, the right candidate will combine an appreciation for AMC's mission with an outstanding facility for juggling multiple complex demands with grace and diplomacy. This is a year round exempt position with benefits, reporting to the President and CEO. 

 Responsibilities

  • Manage the President's schedule—balancing travel, meetings with staff, board, and volunteer leaders, and other demands.  Prioritize requests and ensure the President's time is used effectively and efficiently toward fulfilling AMC's mission.
  • Represent the President and the AMC in communications with members of the Board of Directors, donors, government leaders, volunteers,and others.  With discretion and persistence, assist the President in setting up meetings with key supporters or potential supporters.  Contribute to prospect management meetings.
  • Organize all aspects of Board of Directors meetings including the annual Board retreat (logistics, materials, food and lodging) and coordinate the annual Business Meeting and dinner program for AMC's Annual Meeting.
  • Provide administrative and logistical support for Board committees including monthly Executive Committee meetings as well as Finance, Audit, Investment, Compensation, and Nominating Committees.
  • Coordinate all aspects of other important meetings from location, facility, lodging, and transportation to creating the preliminary agendas and support materials.
  • Receive, screen and handle telephone calls, incoming mail, and other correspondence.
  • Draft and at times review letters, email responses, memos, agendas, and other materials on the President's behalf.
  • Support the Chief Financial Officer with administrative tasks and committee meeting scheduling. Coordinate contract approvals and internal authorizations on the CFO's behalf.  Maintain a working knowledge of key outside relationships and facilitate communications and project coordination.  Assume management responsibility for certain special projects relating to AMC governance, administration, and internal control as assigned.
  • Maintain and manage key corporate records for the organization and coordinate certain governance practices including compiling minutes of the Board and primary governance committees of the Board, Board disclosure statements, significant legal agreements, correspondence, policy statements, certain compliance records, etc. 
  • Maintain files and records which often contain information of a confidential nature.
  • Manage major donor records for development and executive office through Raisers Edge (RE). Integrate executive office donor communications / relations in RE.
  • May attend staff and other key meetings; take and distribute minutes, and coordinate follow up on action items.
  • Provide various other support functions from call screening to filing and other tasks as necessary and identify new opportunities to contribute to the organization and the President's success.
  • Manage the budget and expense control for AMC's Executive Department.
  • Provide other administrative services as neededto support a high performing nonprofit organization.

 

Employment Qualifications

The successful candidate will demonstrate most if not all of the following qualifications and personal qualities. 

  • A  Bachelor of Arts or Science degree or equivalent experience. 
  • A  minimum of five years of successful experience as an administrative professional or in a role supporting a senior executive.  Experience developing new systems and  supporting a chief executive in a new role will be a plus.   
  • Outstanding  attention to detail, editing, and proofing skills and a facility for coordinating complex tasks with precision. 
  • Ability to multi-task and to work independently. 
  • Excellent interpersonal, time management and organizational skills.  
  • Confidence along with the ability to collaborate.  An aptitude for redirecting lower priority requests in a friendly manner while insisting upon timely completion of higher priority tasks for the leadership. 
  • Event planning experience preferred. 
  • A commitment to AMC and its mission along with a sincere interest in helping the organization and its leadership succeed. 
  • Outdoor experience (hiking, paddling, snowshoeing, cross-country skiing) a plus. 
  • An interest in working within a friendly, relaxed atmosphere where a sense of humor is appreciated alongside a commitment to meeting the highest standards of professionalism. 
  • A facility with Microsoft Office including PowerPoint presentations and other office software systems required. 
  • Physical Abilities required:  Most work is performed in a standard office setting operating standard office equipment.  Must be able to sit, stand, climb stairs, and lift up to 30 pounds to waist height.  Ability to travel safely in the backcountry on unimproved trails carrying up to 40      pounds of gear in all weather conditions is preferred.
