Job Description: 

Position: Full time salaried
Department: Development
Reports to: Chief Development Officer

Earthwatch Institute is an international, non-profit organization that engages people worldwide in scientific field research and education to promote the understanding and action necessary for a sustainable environment. With offices around the world including England, Australia, Hong Kong, Japan, India, and Brazil, the Development Office cultivates donor relationships with individuals, corporations, and foundations.

 

Duties
The Development Operations Manager will have responsibility for supporting the operations of the Development Office (global outreach) as well as Executive Assistant responsibilities for the Chief Development Officer (CDO).

Responsibilities include:

Operations

  • Support and maintain fundraising progress reports and spreadsheets and analyze results for CDO and other executives
  • Monitor monthly and annual revenue and expense budget process
  • Participate in donor/prospect strategy sessions
  • Work closely with the Development team on management and coordination of pledge receipts, invoices, and revenue recognition
  • Assist in ensuring accurate accounting and delivery of existing grants including close outreach with finance
  • Oversee Development data input and moves management in donor database
  • Work with CDO to support and contribute to overall communications efforts
  • Manage logistics and planning of offsites, international department meetings and working sessions related to staff management
  • Monitor development policies and procedures for efficiencies; recommend  and create new policies and procedures as needed
  • Oversee Development interns
  • Serve as administrative clerk of the Board of Advisors.

Executive Assistant

  • Manage donor database updating for the CDO (gift entry, tracking of prospects etc.) along with drafting of thank you letters and other donor communications 
  • Coordinate with CDO effective organization of the development team including scheduling meetings, file management, travel preparation, etc.
  • Assist the CDO in management of high level donors and board relationships including management of board giving reports
  • Utilize creative talents and resources to assist in proposal preparation, follow-up, etc.
  • Serve as contact and resource for Board of Directors in their development efforts
  • Serve as secretary for Board Development Committee
  •  Provide support in coordination of donor events including logistics, mailings, travel, etc.
  • Coordinate special development projects as needed
  • Other duties as assigned by the Chief Development Officer.

Qualifications:

  • Bachelor’s degree preferred
  • The ideal candidate will have experience working in the Development field, preferably with international organizations requiring dedicated coordination.
  • Strong organizational and project management skills
  • Ability to meet deadlines and maintain high level of professionalism while managing multiple demands.
  • Ability to work with flexibility, efficiency and diplomacy both individually and as part of a complex team effort.
  • Minimum of 5+ years of experience preferably working in a international non-profit or environmental organization, development or sales department.
  • Excellent verbal and written communication skills
  • Strong database management and report writing skills preferred
  • Expert in Word, Excel, and PowerPoint.
