The Office Manager is responsible for maintaining operational and administrative services at Earthjustice Headquarters, as well as for supplying facilities assistance as needed to Earthjustice California Regional Office and International Program. The position is essential in providing an efficiently-operated office that meets the workplace needs of the staff. The Office Manager will report to the Operations Manager.
Essential Duties and Responsibilities:
- Ensure overall office appearance, housekeeping and organization, which include upkeep of the kitchen, conference rooms, and copy rooms.
- Track, restock, and order office supplies.
- Cover reception during receptionist breaks and provide training to receptionists.
- Ship out USPS mail daily and provide shipping assistance to staff.
- Oversee office equipment maintenance and repair and provide training to staff on the equipment.
- Serve as liaison to building management in order to maintain building services and systems.
- Work with vendors to ensure proper services and orders.
- Provide staff assistance for any questions or concerns.
- Implement safety and security systems and provide training to staff on the systems.
- Orient new staff to all office systems.
- Provide support to the Operations Manager.
- Assist in establishing green features in the office.
- Keep informed of new technologies, products, and services that may make the office more efficient.
- Assist in setting up departmental or organizational events.
- Orient and manage volunteers.
Requirements:
- Associate's degree or related post-secondary technical training required. Bachelor's degree preferred.
- At least 1–3 years of office administrative experience required; understanding of and experience with a multi-site organizational structure preferred.
- Notary Public Commission and CPR and First Aid certification a plus.
- Highly proficient with Microsoft Offices suite of programs.
- Excellent verbal and written communication skills.
- Demonstrated skills in operating various office equipment, such as personal computer, calculator, copy machine, facsimile machine, and telephone system.
- Strong interpersonal skills and ability to work amicably with various departments and offices, while still accomplishing goals and meeting deadlines.
- High quality work standards and ethics, strong attention to detail, and willingness to dedicate time and hard work to Earthjustice.
- Effective multi-tasker with ability to quickly analyze and resolve problems, as well as remain composed and effective under pressure.
- Ability to lift boxes over 25 pounds.
- Ability to be on feet for a prolonged period of time (this position requires a large amount of walking around the office and running of errands).
