The Land Trust Alliance is a national conservation organization whose mission is to save the places people love by strengthening land conservation throughout America. The Alliance works with Congress to pass tax incentives and funding that help landowners to choose conservation over development. The Alliance serves as a university for land conservation that trains the people who do the work to conserve cherished farms, forests, parks and trails. It strengthens community-based land trusts by providing workshops, online learning, research, standards, and accreditation services. The Alliance’s conservation defense program helps land trusts ensure that conserved land stays protected forever. The Alliance works with the media to promote land conservation and engage more Americans in saving our most treasured places. Summary Description: Reporting to the Training and Conference Manager, the Training & Conference Associate is an essential member of a three-person team and is responsible for facilitating and conducting the registration process for all Alliance trainings including in-person, online and the annual national conference (Rally). Additionally, this individual will support the team in both administrative and logistical tasks, and work closely with the IT and Communications Managers, field staff, and interact with key suppliers and facility staff. Specific Responsibilities: OVERALL: • Facilitate and conduct the registration process for all training events – o Create meeting modules in iMIS o Assist with posting registrations to iWEB o Maintain the training information on the Alliance website with Plone (a web-based program) o Create and update all registration forms, confirmation letters, invoices, etc. o Communicate in a highly professional manner with registrants and presenters, respond appropriately to their needs and requests in a timely manner o Send invoices as needed and collect any outstanding fees o Perform other tasks as needed to ensure smooth registration for attendees • Oversee the set-up of the Rally conference evaluation in Survey Monkey. • Research prices and solicit bids for printing, mail houses and conference supplies. • Fact-check details and proofread training materials before going to print. • Travel, sometimes independently, as needed to support and/or to learn from Alliance training events. • Contribute to continuous improvement efforts in Training and Conference Department and organization wide.2 RALLY: THE NATIONAL LAND CONSERVATION CONFERENCE • Lead at the onsite registration desk • Enter workshop descriptions and presenter bios into iWEB • Enter session proposals into iMIS – the Alliance database • Communicate with over 300 faculty regarding registration, deadlines, collection of workshop materials and audio visual requirements • Book Rally Staff travel • Create forms including evaluation forms, on-site registration form, tickets for Rally events, publications order form, attendance list • Order supplies: name badge holders, inserts, ribbons and other supplies. • Assist with the Rally Staff trainings and Rally Staff on-site venue tour • Coordinate and oversee Rally pack out in the DC office and onsite at the Rally venue • Assist Training & Conference Team with Rally marketing and other Rally related responsibilities as needed • Manage the Training and Conferences mailbox in Outlook • Recruit, train and supervise volunteers for Rally Qualifications: • BA/BS degree and/or 2+ year’s professional experience in conference/event management. • High proficiency with standard office software (Microsoft Office Suite), data-entry, mail-merge, and efficient use of the Internet. Crystal Reports and Web based program knowledge a plus. • Strong verbal and written communication skills including a clear, pleasant, helpful manner. • Extraordinary organizational skills with exceptional attention to detail. • Proficient in editing and proofreading. • Ability to function as supporting member of a successful, energetic and fast-moving team. • Willingness to pitch in where needed. • Ability to perform multiple tasks simultaneously and manage time effectively. • Able to work independently and meet strict deadlines. • Sense of humor and willingness to work with a highly committed staff in a mission-driven organization. • Ability to travel to conferences. (Airline travel required.) • Availability to work some weekends and evenings. • Strong interest in land conservation. Benefits: This is a full-time exempt permanent position.
