Our Irvine office is searching for Project Coordinator (part-time) to provide support to our Urban Development team.  Only local candidates will be considered.  Desired work schedule is Monday thru Friday 7 am - 12 noon.

Responsibilities:
  • Responsibilities including controlling the incoming and outgoing documentation process and maintaining files and project reports.
  • Compile, compose, type, proofread correspondence and various other documents. Will proofread and recommend changes in spelling, grammar, and punctuation for others.
  • Prepare or assists with preparation of standard reports, contracts, and forms.
  • Accumulates, compiles, consolidates, balances, and edits data. Checks document contents for accuracy.
  • Create and edit spreadsheets from drafts and general instructions
  • Assist with certificate of insurance for clientele.
  • Assist with maintaining/managing client database.
  • Responsible for on-site central file system.
    Assist with company functions and employee morale building events.
  • Assist with recordkeeping and maintenance of company vehicles and other assets.
  • Assist with project close-out process and maintenance of archiving on-site and off-site files.
  • Support Accounts Payables process to coordinate and process invoices, check requests, and expenditure reports
Qualifications:

Technical training or knowledge: Advanced user of computers and software; specifically Microsoft Office Suites (spreadsheet, pivot table and report creation), Access; Adobe Acrobat; and Oracle system a plus.

 

Professional training or knowledge: High level administrative, organizational, customer relations skills, excellent communication, business writing skills, editing and formatting skills. Extensive experience assisting management in day-to-day operations as well as with project administrative tasks.  Ability to multi-task and work in a fast-paced environment.  Detail-oriented and resourceful in completing projects and meeting deadlines. Adaptability/flexibility to learn new things and pick-up tasks quickly.  Strong work ethic, and willing to go the extra mile.

 

Work experience: At least four years of related project administrative experience, preferably with an engineering company. Experience should demonstrate sound judgment, ability to multi-task, complete tasks in a timely manner and work effectively/comfortable under pressure.

 

General education or equivalent: High school diploma or equivalent with additional professional administrative training. College degree or advanced college level courses a plus.

 

Valid driver's license and good driving record required.
