Job Description: 

The Alliance to Save Energy, a Washington, DC-based nonprofit focused on promoting energy efficiency worldwide, is seeking an Administrative Associate to support its Corporate Relations & Fundraising team.

The Administrative Associate will divide his/her time among three areas:

  • Recordkeeping and communications for the Alliance “Associates” (membership) program, a coalition of over 175 corporate, nonprofit, government and academic organizations.
  • Recordkeeping and communications for fundraising, including event sponsorships and individual giving.
  • Management of data integrity for all contacts in the Alliance’s database and constituent relationship management (CRM) system

Primary Responsibilities:
General

  • Perform administrative duties, including fielding phone and email inquiries; drafting general correspondence; scheduling appointments; maintaining files; and other activities as assigned.
  • Provide current information about the Associates program and fundraising to Alliance staff for the purpose of updating marketing, board and other materials.

Associates Program

  • Support membership renewal and dues collection, including generating invoices; drafting and distributing renewal letters, payment reminders and collection notices; compiling regular status reports; and following up with non-renewing members.
  • Provide recruitment support and process new member applications, including researching prospective members; tracking outreach to prospects; preparing invitation materials; generating invoices; filing application materials; entering contacts in the CRM system; and maintaining website user account information.
  • Compile updates from Alliance staff to prepare tracking records of engagement with prospective and current Associates.
  • Develop, update and maintain Associate-related content on the Alliance’s website.

Fundraising

  • General support of the Alliance’s fundraising activities and staff, including generating invoices; drafting and distributing pitch letters, payment reminders and collection notices; compiling regular status reports; and following up with non-responsive prospects.
  • Provide reports to upper management on all fundraising activities, including individual and electronic giving, CFC and event fundraising.

Data Management

  • Maintain database of Alliance contacts, including entering records; routinely reviewing data integrity; and preparing reports for use by program teams.
  • Proactively develop and manage reporting on database contents to ensure that the Alliance – and CRF in particular – fully utilize the system’s abilities to identify inactive contacts, record member-specific and aggregate data, etc.
  • Serve as the go-to contact on database content and use for program teams. Technical support for database issues will be provided by IT.

Qualifications:

  • Proficient in Microsoft office (Outlook, Excel, Word, Power Point)
  • Experience using a CRM system / contact management database preferred (training will be provided on the specific system used by the Alliance)
  • Organized and detail-oriented, with an ability to establish and follow routine processes
  • Strong written and oral communication skills
  • Strong Bookkeeping skills
  • Four-year degree from an accredited institution preferred, or comparable professional experience providing administrative support or bookkeeping
