Job Description: 

The Energy Center of Wisconsin is seeking a project administrator to assist with the administration, marketing and training components of a commercial building energy efficiency program. We are a private non-profit organization that is mission-driven, independent, and objective. We seek practical solution paths among a world of competing interests.

Work will include developing weekly and monthly reports, database entry, targeted outreach to potential new program participants, event planning, project tracking, and other general program support. The project administrator will be a key part of a large team working directly with two major utilities and tracking more than 150 commercial building projects. Limited travel to northern Illinois and Chicago will be required.

The ideal candidate will have some experience working in the commercial building architectural/engineering and design industry, or with utilities, must be able to adapt to meet expanding and evolving program needs, possess exceptional organizational, communication and customer service skills, and work well independently and with teams.

Essential job functions:

  • Perform complex clerical operations, processing documents and performing other operations where comprehensive knowledge of the program is required
  • Compose and type correspondence, requiring knowledge of the program, which may not be reviewed by a superior
  • Assist with developing and revising policies and procedures affecting the administration of the program
  • Work closely with the program managers to plan, assist, and guide the clerical support activities needed for the program
  • Gather, organize, and complete all reports as assigned
  • Analyze, interpret, and prepare information, data, and reports
  • Assist with proposal development and preparation
  • Monitor task budgets and invoices—track budget targets and progress
  • Act as liaison among contractors, customers and other clients including answering questions regarding the program via telephone, correspondence or in person
  • Assist with planning and coordinating meetings, events, trainings and conference calls, and anticipate and prepare needed materials

Minimum requirements:

  • Bachelor's degree from an accredited college or university in business, engineering, or related discipline
  • Strong administrative background with a minimum of 5 years office experience
  • Strong organizational skills and attention to detail
  • Good verbal and written communications skills
  • Ability to multitask, prioritize workload, and manage conflicting demands
  • Excellent customer service skills, including ability to deal with special requests and customer complaints
  • Ability to take initiative and work autonomously
  • Proven record of successful delivery under deadlines
  • Advanced skills in Microsoft Word, Excel, PowerPoint. Database experience required.

Desirable experience:

  • Advanced degree and/or extensive applied experience
  • Familiarity with lighting, HVAC, and other technologies installed in commercial buildings
  • Experience working with utility energy efficiency programs
  • Experience working with A/E or design build firms
  • Marketing experience, particularly with new products or services
  • Experience with meeting planning for training events
