Job Description: 

The Institute for Sustainable Communities (ISC) is seeking an Office Assistant to provide program, administrative and communications support for the various DC-based activities of ISC. The assistant supports the Director of the Washington D.C. Office to ensure high quality representation and outreach for ISC. The assistant will conduct research, prepare correspondence, presentations, and other communications material, perform general clerical and receptionist functions, and manage facilities, equipment and systems to ensure an effective and efficient work environment.

This is a part-time (20 hours/week) position.

Organization Description

ISC is an independent non-profit organization that combines expertise in leadership, institutional development, and community capacity building with environmental and resource efficiency experience, taking a result-oriented, business-minded approach to improving people’s lives and the earth’s ecosystem.. Our current areas of programmatic growth include helping communities become more resource efficient and transition to low-carbon economy; strengthening democratic institutions and citizenship in transition countries; and supporting sustainable community development – particularly in areas recovering from natural disasters or vulnerable to climate disruption. With our headquarters in Montpelier, Vermont, and offices in China, Macedonia, Serbia, Kosovo, and Washington, DC, ISC has an international staff of approximately 90 people and an annual budget of approximately $14M. Since our founding in 1991 by former Vermont Governor Madeleine M. Kunin, ISC has led transformative community-driven projects in 23 countries across the globe.

Responsibilities

 

  • Schedule meetings, coordinate contacts, and enter meeting notes in to database system for the Director of the Washington, DC office.
  • Organize, maintain, and input data and documents into ISC’s database programs and other filing systems;
  • Conduct research as assigned to support representation and outreach, development opportunity identification, intelligence gathering, project design, and proposal development;
  • Coordinate travel schedules, purchasing tickets and make travel arrangements, prepare travel itineraries, and arrange for visas for the Director of the DC Office, staff, partners, and consultants;
  • Facilitate communications among all program staff and assist with team logistics;
  • Organize events and/or meetings in the DC office and in the DC Metro area, such as workshops, retreats, study visits, and fundraising and outreach events. Tasks include logistics, materials, refreshments and meals, and transportation as appropriate;
  • Coordinate with DC office and HQ staff on travel and visits, manage shared office calendar;
  • Coordinate IT support in conjunction with network administrator (VT) and local IT support vendor;
  • Manage petty cash and perform monthly reconciliation;
  • Perform tasks associated with receptionist area, check, sort and forward mail;
    Complete and forward appropriate documents and other information to Finance and Human Resources;
  • Ensure availability of office resources and working condition of office equipment, manage service providers and vendors;
  • Other duties as assigned .

 

Knowledge, Skills, and Abilities

 

  • Strong organizational and administrative skills that reflect ability to perform and prioritize multiple tasks;
  • Ability to work independently and collaboratively and adapt to changing priorities;
  • Excellent written and oral communication skills;
  • Ability to interact positively and effectively with a diverse group of people while providing consistently excellent customer service enterprise-wide;
  • Ability to think strategically, anticipate needs and proactively solve problems;
  • Research and analysis experience and skills;
  • General administrative skills including budget and financial management;
  • Strong work ethic, personal integrity, and sensitivity to people from different countries/cultures;
  • Above average skills in Microsoft Office suite, email, Internet browsers, and other software helpful in advancing the efficiency of the team;
  • Knowledge of one or more foreign languages a plus.

 

Working Conditions

Office environment. Some occasional travel within the U.S.

Qualifications

 

  • Bachelor’s degree in related area of expertise
  • Two years of relevant experience
  • Commitment to the ISC mission and goals
