Event Information:

Earth Island Institute is celebrating its Annual Brower Youth Award ceremony. Each year, Earth Island Institute honors six youth for their outstanding activism and achievements in the fields of environmental and social justice advocacy at the Herbst Theater in San Francisco. Position Summary:

We are looking for an experienced Event Registration Specialist who is energetic, outgoing, and disciplined and who can provide exceptional customer service to the public during all ticketing, registration and donation transactions.

This is a limited term, temporary assignment from September through October 2011 for our annual Brower Youth Awards event. The ideal candidate is an experienced event ticketing and registration specialist and is not only a helpful sales person, but also an ambassador for the organization. As the front-line staff member for ticketing and registration for our annual event, you will interact with a wide range of individuals and represent the main point of contact between the public and other Earth Island team members. This is a mission-critical position and will coordinate the entire event registration process from start to finish.

Responsibilities:

  • Monitor and coordinate all event ticketing and registration both prior to and during the event via our Convio database, as well as via phone, online and staff referral registrations.
  • Provide excellent customer service during all ticketing, registration and donation interactions while maximizing the value of each transaction.
  • Thoughtfully and knowledgeably answer inquiries regarding the organization and the Brower Youth Awards event
  • Work with EII staff to resolve all concerns, complaints and disputes in a timely and discrete manner.
  • Handle contact and financial information with the utmost care and confidentiality.
  • Enter and update contact information in a timely and accurate manner.
  • Coordinate the entire event registration process from start to finish.
  • Work with volunteers and staff and act as the front line contact on the day of the event.
  • Reconcile all transactions and provide follow up after the event.
  • Perform general administrative duties and provide other assistance as needed.

Experience:

  • 2–3 years experience in event registration and ticketing using a database and working in a customer service or nonprofit special event management environment REQUIRED.
  • Interest in environmental advocacy preferred – knowledge of Earth Island Institute a plus.
  • Experience typing and working with computers – knowledge of Microsoft Office.
  • Knowledge of database ticketing/registration systems, including Convio, and fundraising systems, including Raiser’s Edge a plus (Candidates not trained in Convio must be willing to learn and attend the training sessions).
  • Excellent verbal and written communication skills and comfort on the phone.
  • Strong interpersonal skills (ability to interact professionally with the general public, with EII staff members and volunteers as well as EII Board of Directors and Major Donors is critical to the position).
  • Attention to detail and demonstrated punctuality.
  • Experience handling money and demonstrated absolute integrity and honesty in handling credit card information, personal checks, and cash.

  • Ability to work well under pressure and in a fast-paced environment with a diverse range of coworkers and volunteers.

Primary Reporting Responsibility: Director, New Leaders Initiative

Other Requirements:

During the event you may be required to stand for long periods of time and move around quickly while assisting volunteers, staff and the public. The position (pre and post event) is located at the EII main office one block from the downtown Berkeley BART station in the David Brower Center. The day of the event, however, the position is working in San Francisco at the Herbst Theater and interacting directly with the public.

Salary:

$18.00 per hour. Anticipated 20 hours per week but likely to increase moving closer to the event up to 40 hours per week.
