Job Description: 

RMI is seeking a person with exceptional organizational and communication skills to fill the position of Executive Assistant to RMI's Office of the Chief Scientist (OCS).
The Executive Assistant is responsible for all administrative and operational support to Dr. Lovins, RMI's Chief Scientist and co-founder; collaborates closely with Dr. Lovins's Special Aide, and reports to the Executive Director.
RMI has offices in Boulder and Snowmass, Colorado. Applications will be accepted and considered for the Snowmass office.
Key Responsibilities
Professional Service and Support. Provides comprehensive administrative service to Dr. Lovins; manages all related paperflow, files, schedule, and appointments; understands priorities and commitments of the OCS and is able to make adjustments as seamlessly as possible, often with little advance notice; manages expense reporting and documentation; screens and manages phone traffic as well as postal mail. Handles email requests by dispatching to the appropriate recipient (Dr. Lovins, Special Aide, other RMI staff) and following up as needed.
Travel Schedule and Support. Makes and manages all logistical and booking details related to travel; ensures that OCS staff understand schedule and lodging requirements; provides solutions to unanticipated changes to travel schedule; ensures travel, lodging, scheduling and related work is virtually error-free. Prepares detailed itinerary and schedule for all OCS travel and debriefs after travel regarding logistics feedback and files trip folder documents.
Technical and Tools Knowledge. Maintains a high level of knowledge of and facility with office tools and software including Google Mail, Calendar functions, Google Documents, Excel, Word, and Macintosh. Actively pursues improvement in skill levels. Understands the basic functioning and troubleshooting of iPhones, printers, fax equipment and other such devices.
Knowledge of RMI Administrative Systems. Understands and follows standardized administrative procedures. Is aware of need for improvement of administrative systems and works with other staff to improve such systems.
Dependability. Timely informs appropriate people of changes to schedules, work hours or standard routines. Can be counted on to assist with projects outside areas of primary responsibility. Informs rest of RMI about OCS schedule and trips. Tracks revenue of past and future engagements. Collaborates with the Special Aide on requests for and negotiation of offers for speaking engagements.
Flexibility. Is able to handle unanticipated changes to schedules, plans and workloads; approaches difficult situations with a positive attitude. Occasionally provides support to OCS after normal business hours and on weekends as needed.
Presentation. Exhibits a high level of professionalism in interaction with others. Communicates clearly and effectively orally and in writing and has superior listening skills. Interacts tactfully and engagingly with diverse and often senior contacts. Overall is a superior representative of RMI. This individual will work directly with people at the highest levels in corporations, foundations, government, and academic institutions.
Qualifications
Minimum six years' experience as an executive assistant at the most senior level in a high performance environment, working with complex situations and projects, or comparable qualifying experience
Strong team and interpersonal skills and the ability to work independently. Must be well organized, flexible and enjoy the administrative challenges of supporting a fast-moving team
Ability to interact with staff at all levels, often under pressure, remaining positive, flexible, proactive, resourceful, efficient, and managing multiple demands
Ability to maintain professionalism and strict confidentiality at all times
Excellent written and verbal communication skills
Good judgment and strong decision making ability
Attention to detail and exceptional accuracy
Proficiency in Google Mail, Calendar functions, Google Docs, Excel, and typical contact database software
Domestic/international travel experience to inform travel scheduling role
Foreign language capabilities a plus though not essential
