Job Description: 

The American Council for an Energy-Efficient Economy (ACEEE), a leading national nonprofit research organization based in Washington, D.C., seeks a part-time Administrative Assistant for the Conferences Team. ACEEE is dedicated to advancing and deploying energy efficiency technologies, policies, and programs as a means of promoting economic prosperity, energy security, and environmental protection.
Position Description:
ACEEE is looking for a dynamic, self-motivated individual with experience and skills in: administrative tasks, data entry, written & oral communication, and MS Office products. The Administrative Assistant will work with ACEEE's conferences team to assist with preparing, then attending conferences and other meetings throughout the year. The conferences team works cross-departmentally with staff responsible for research, policy, and operations.
The Conferences Assistant position is designed for a half-time, hourly ACEEE employee working at least 20 hours/week. The successful candidate will possess excellent communication and organizational skills; demonstrate the ability to work collaboratively as well as independently; and have experience in: processing registrations, invoicing, mailings, entering data in the conferences database, fielding phone calls, assembling registration packets, interacting with conference attendees pre-, during, and post-conferences. The candidate must have a flexible schedule; be willing to work from a home office in northern Delaware; and be available to travel to conferences as well as to periodic meetings at the ACEEE headquarters in Washington, D.C.
Duties and Responsibilities:
Manage registrations for all ACEEE conferences which include: processing registrations; sending receipts/invoices; making name badges, assembling registration packets (copying and collating); fielding phone calls and e-mails about registration; and attending all conferences to check-in attendees at the registration desk.
Conduct post-conference wrap-up tasks such as: mailing thank you notes, sending remaining invoices/receipts, and processing evaluations (if any).
Assist with formatting papers for publication in conference proceedings.
Assist with mass mailings via hard copy and e-mail.
Perform other administrative tasks as needed.
Start Date: Early Spring 2011
Salary: $12 - $15 per hour depending on experience
Timing: The position will remain open until filled.
