Job Description: 

Position

 

The CNT Energy Administrative Assistant provides administrative support for CNT Energy’s internal and customer facing programs. Primary responsibilities include supporting the administrative needs of the CNT Energy Executive Director and COO, supporting CNT Energy’s check request and invoicing process, answering CNT Energy incoming calls and providing general project support using tools such as Microsoft Word, Excel, and PowerPoint.

 

 

Accountability

The Administrative Assistant reports to CNT Energy’s Executive Director, Anne Evens.  The Administrative Assistant will also collaborate closely with other members of CNT’s Energy’s staff and will work closely with other members of CNT’s admin staff.

Responsibilities

 

  • Develop and maintain a working knowledge of CNT Energy programs in order to support CNT Energy leadership, communicate information as necessary, and prioritize demands on time.
  • Provide customer support/reception services.  This includes:

·        Answering incoming phone, mail and electronic communications

·        Providing information on energy programs and services

·        Tracking and addressing customer comments, requests, and complaints using a customer relationship management database .

·        When necessary provide overflow support of CNT Energy’s call center.

  • Maintain paper and electronic office filing systems, including reference files for external and internal use.
  • Maintain inventory of office equipment and supplies, handling ingoing and outgoing mail procedures
  • Maintain information about staff schedules to ensure CNT Energy’s office is open and staffed during business hours, serves as the primary point of contact for staff whereabouts.
  • Work with CNT Energy’s COO and CNT Accounting staff to process check requests and maintain vendor files.
  • Maintains and reconciles petty cash systems. 
  • Assists in planning meeting and conferences, including scheduling of attendees and necessary resources. 
  • Provides additional administrative support to the CNT administrative staff.  This includes answering the CNT phone line when necessary.  
  • Greet incoming visitors to CNT and direct them to the appropriate person or department. 
  • Ensure reception area is presentable and stocked with CNT brochures.
  • Perform data entry and data management tasks as directed and as necessary, in order to assist in the production of CNT Energy deliverables. 
  • Other duties, as assigned.

 

Qualifications/Skills

 

  • Bachelor/Associates degree preferred
  • Minimum of 5 years of office administration experience with purchasing duties required
  • Exceptional organizational and coordination skills.
  • A demonstrated attention to detail.
  • Proficiency in MS Office applications (Outlook, Word, Excel, PowerPoint, Access).
  • Excellent written and verbal communication.
  • Ability to work well independently and in a team setting.
  • Bilingual English/Spanish not required, but is an optimal qualification.

This is an Exempt position. Salary is commensurate with experience.  Work hour start and end times may be staggered with other employees to support a 7 am – 7 pm call center operation.
