Job Description: The Comptroller is the primary financial manager for the organization and is responsible for ensuring that all financial records of the organization are maintained accurately; preparing budgets and analyses of organizational finances; ensuring that all payments, taxes, and other disbursements are made in an accurate and timely manner; and supervising the Bookkeeper. He or she tracks and analyzes employee timesheets, is the lead staff member for our staff financial team, works with the Board treasurer, and ensures that the internal controls are followed.
The Comptroller is an hourly, part-time position of approximately 20 hours per week, working Monday - Friday.
Responsibilities: The Comptroller is responsible for ensuring that all financial records of the organization are maintained accurately, preparing budgets and analyses of finances, and ensuring that all payments, taxes, and other disbursements are made in an accurate and timely manner. Duties include:
reviewing and verifying the accuracy of monthly, quarterly, and annual financial statements prepared by the Bookkeeper; serving as a primary contact for all banks and brokerage houses that Northern Plains has accounts with; ensuring that the reconciliations of all checking, savings, endowment, and brokerage house accounts are completed on a monthly basis; ensuring that Northern Plains' Internal Controls are followed; ensuring that all internal and external reports are completed in a timely manner; preparing Northern Plains' annual budget for approval and monitoring the budget on a monthly basis; preparing financial analyses, such as cash-flow projections, on a regular basis for the Staff Director; ensuring that all tax reports (worker's compensation, payroll reports and federal Form 990) are properly prepared and submitted by the deadlines and responding to any questions about our 990 report; working with the outside auditor to ensure that the annual audit is completed; coding all bills for the Bookkeeper; ensuring the payment of all accounts payable, as authorized, and accounts receivable; ensuring that Northern Plains' insurance coverage (auto, building, other) is current and appropriate; ensuring approved annual organizational contributions to employee pension plans are distributed in a timely and accurate manner, and reports completed; ensuring that gifts of stock and other non-cash gifts (e.g., automobiles, office equipment) are accurately recorded and dealt with appropriately; analyzing employee timesheets and providing monthly reports to the Staff Director of the number of hours worked, project by project, for each employee; tracking employee time off, sick leave, and alternative transportation credits; ensuring appropriate Personnel Policy guidelines are adhered to and followed; serving as the Lead for the Staff Financial Team; and, serving as the staff contact for the Board's Endowment Investment Committee and for the Board Treasurer. The Comptroller supervises the Bookkeeper. Duties include:
Hiring, training, mentoring, and supervising the Bookkeeper; reviewing appropriate benefits and staff policies with the Bookkeeper during orientation and annually thereafter during the Bookkeeper's evaluation; in consultation with the Staff Director, developing annual work plans for the Bookkeeper; establishing two-month work plans consistent with the annual work plan during bi-monthly meetings; monitoring the progress of the Bookkeeper and advising, strategizing, and problem-solving issues; determining the training needed by the Bookkeeper to enhance his or her effectiveness; and assisting in the professional development of the Bookkeeper. The Comptroller, as all other staff, is responsible for performing the administrative tasks necessary to accomplish his or her job. This includes, but is not limited to:
filling out monthly time sheets and other office paperwork, as appropriate (e.g., requests for leave, sick leave, reimbursements); answering the office phones if no one else is available; taking messages and delivering them to the appropriate staff person in a timely fashion; obtaining bids from vendors, as necessary (e.g., if Northern Plains decides to change insurers); assisting the Staff Director or other staff in improving administrative efficiency; attending staff meetings, Northern Plains' annual meeting, and other meetings and events as requested; and taking on additional assignments when other staff persons are absent and as requested. Qualifications: Four-year degree in Accounting, preferably a CPA. The Comptroller must be highly skilled in accounting techniques and must use accurate accounting methods. He or she must be organized, detail oriented, and honest. He or she must be familiar with the QuickBooks computer accounting system and with Excel and Word software programs. He or she must be able to take direction and then work independently.
We are looking for someone who has 3-5 years' experience in accounting, and who is at least somewhat familiar with not-for-profit accounting.
Wage: $19-$21/hour, depends on experience and training. This is a 20 hour/week position.
Benefits: 8 paid holidays annually, plus sick leave and vacation time. After one month on the job, this position will begin to accrue paid vacation time at the rate of 10 paid shifts off per year, and 5 shifts of paid sick leave per year. After two years, employee is eligible for pension contribution.
