Responsibilities:

RESPONSIBILITIES - DETAIL

Document Publication – Deliverables

  • Review upcoming deliverables and work load requirements with Supervisor.
  • Prepare Reports, Request for Proposals, Specifications, Trade-off Studies, Memorandums, Letters (following the company guidelines / styles, including revision and peer-review process, document control / tracking, and quality assurance.
  • Compile documents (organize; format and edit technical reports; establish tables of contents; use page numbering; utilize MS Word styles; import tables, figures, drawings and photos from other software using MS Office).
  • Prepare draft / final deliverables for client reviews, final issuance, etc. (copy, bind hard copies of documents for delivery to the client).
  • Prepare drawing package submittals, including incoming data from vendors.

Project Maintenance (as directed by Document Manager and Project Manager)

  • Follow MEDAD electronic filing structure when naming project files.
  • Organize project communications, deliverables, and data.
  • Track / log project deliverables.

Marketing Documents (Proposals/Qualifications)

  • Assist Supervisor with marketing / proposal preparation following company standards, including revision and peer-review process, document control (tracking), and quality assurance.
  • Maintain proposal files (electronic).
  • Maintain qualification materials and letters (electronic).
  • Maintain marketing / proposal / project logs on SharePoint.

Office Administrative Responsibilities

  • May attend and weekly Project Manager’s meetings to record meeting notes.
  • Perform general day-to-day administrative activities as required, including travel arrangements, filing, supply ordering, timesheet entry, document management log updates, and weekly document management meeting.
  • Provide clerical / technical support to staff as needed.

 



Qualifications:
  • Advanced writing skills using MS Office 2007 software with heavy emphasis on using MS Word to format and edit documents.  Proficient with Excel, PowerPoint, Picture Manager.  Knowledge and use of Adobe Acrobat Reader.
  • Strong project management skills, ability to work in a fast-paced environment, with flexibility to juggle numerous writing projects simultaneously in a rapidly changing environment.
  • Strong command of the English language in documentation with excellent communication skills.
  • Ability to quickly learn new software applications to improve speed in delivering final product.
  • Detail oriented and self-motivated with the ability to work as part of a team and individually with minimal supervision.
  • Deadline oriented with the ability to work overtime as necessary to meet project deadlines.
