Job Description: 

POSITION TITLE: Administrative Director
PAY RANGE: $42,000 - $47,000 annually
ACCOUNTABLE TO: Executive Director
JOB STATUS: Full-Time
PRIMARY PURPOSE OF THE POSITION:
To manage the administrative needs of MCEA. To supervise the Legal Secretary, Financial Manager and other administrative staff (full or part time, permanent, temporary or volunteer). To provide administrative support to the Board of Directors and its committees. To administer payroll and benefits. To manage the technological needs of MCEA and to assist in developing technology solutions for the office.
MAJOR AREAS OF RESPONSIBILITY:
1. Administrative and Staff Management
A. Assume direct supervisory responsibility for the Legal Secretary, Financial Manager and any other administrative staff.
B. Manage the administrative needs of the office, including managing work flow to administrative staff.
C. Process and maintain all present and future MCEA personnel contracts and confidential files.
D. Process and maintain all present and future MCEA vendor, organizational and independent contractor contracts and confidential files.
E. Provide support to all program staff and serve as back up for all administrative support positions as needed.

2. Board of Directors
A. Manage the production and delivery of packets to Board members for all Board of Directors meetings. Attend Board of Directors meetings and take meeting notes.
B. Coordinate Board committee meeting scheduling and general communications to Board members.
C. Manage and maintain Board Committee records and meeting minutes.
3. Legal
A. Serve as backup for Legal Secretary and/or Financial Manager as needed.
4. Human Resources
A. Administration of payroll (collect time-sheets from hourly employees, contractors, and interns) and benefits, including, 401(k), medical health insurance, flexible spending accounts, supplemental insurance, officers and directors insurance, and building and lease negotiations.
B. Conduct new employee orientation: ensure a functioning work space, orient new employees; distribute, answer questions on and collect appropriate employment forms (W-2, payroll, W-9, technology and personnel procedures); provide assistance and direction as needed; assist with end of the year reporting, 1099s.
C. Develop procedures and systems for maintenance of Human Resource related materials, included personnel materials, and important dates and deadlines.
5. Technology
A. Serve as IT manager. Provide computer and technology assistance to all staff, and serve as the point of contact for outside vendors as needed. Work directly with technical consultants (Active Innovations) to maintain daily operations and plan for long-term office needs.
B. Run the computer back-up tapes.- this role is performed jointly by Administrative Director and GIS Manager
C. Maintain office printer/copiers and understand current technology and upgrade as necessary within the MCEA budget.
D. Working with the management team, develop and maintain a technology plan.
E. Participate in website and other new media outlet operation and maintenance.
OTHER PERFORMANCE CRITERIA:
1. Positively contribute to team-oriented work environment.
2. Ability to prioritize tasks appropriately, work efficiently, and step in as necessary to maintain a smooth-running office.
3. Ability to complete tasks despite frequent interruptions.
4. Ability to organize work, files and other references/documentation.
5. Ability to recognize and act upon organizational needs.
6. Interest in and initiative to assist other MCEA efforts such as development, legislative advocacy, and communications.
QUALIFICATIONS:
Minimum
• Office management experience including strong clerical, organizational and administrative skills, and excellent attention to detail.
• Proficient in Microsoft Office Suite, network operations and other technologies.
• Excellent writing and proofing skills.
Desired
• Legal secretarial or similar experience.
• College degree.
