The Wilderness Society (TWS), a non-profit membership organization devoted to preserving America's wilderness, seeks an Administrative and Photo Assistant to support the Communications Department.
This person will be an important member of an active, creative and skilled communications team. Interest in environmental issues and in publications is very helpful, as is a sense of humor. Ability to work cheerfully and independently as an effective team member and to manage multiple projects and assignments in a fast-paced work environment is essential. Self-starters are ideal for this position.
Responsibilities
I. Administrative Tasks - 50 percent of workload
Coordinate daily operations of the Communications Department; perform general office-management functions to ensure efficient operation of department. Maintain department calendar. Prepare annual administrative budgets; coordinate entry of all department budgets; manage invoice and check processing. Provide primary administrative support to vice president and to directors and managers as necessary; keep VP's appointments calendar; arrange meetings and appointments; provide simple secretarial services for VP including faxing, copying, expense reports. Work with interns and communications directors to ensure that major mailings and other projects requiring support are accomplished on time; assist with special events and manage logistics for meetings. Respond to outside requests for TWS publications and maintain publications library. Assist in recruitment and training of temporary employees. Other duties as assigned by VP II. Photo editing, design, publications management - up to 50 percent of workload
Work with senior editor to produce Wilderness magazine, newsletters, annual report, brochures, ads, wall calendar, and other materials for internal and external audiences. Serve as the internal point person for and manager of TWS image library; ensure consistent, reliable tracking and inventory of all submitted images, and safe return of all images to photographers. Manage and facilitate outreach to professional photographers for various projects, meetings and events, including requests for photos, negotiation of rights/fees, etc. Maintain cost records for publications transactions, ensure payment to all vendors. Review, scan and edit photos as needed; Respond to TWS staff for requests of photography, design, and publications assistance Work with communications and other departments' staff to design policy briefs, fact sheets, and other collateral materials to support TWS advocacy work. Oversee consistent application of TWS brand strategy in newsletters, reports, fact sheets, and other organizational publications Qualifications
Two or more years' experience as an administrative assistant or equivalent training or experience is highly desirable. A bachelor's degree is preferred. Must be detail-oriented and very organized. Strong interpersonal and computer skills are essential. Must be proficient in database management, research and information retrieval on the Web, MS Access, MS Word and MS Excel. Photo research and editing experience for websites and print publications is strongly preferred. Experience facilitating and managing internal photo archives is a plus, as is experience with design software programs i.e. Photoshop, Illustrator, Quark, and InDesign.
