The Executive Assistant provides administrative support to the Executive Director, Pollinator Conservation Director and additional staff as directed. The successful candidate will be a self-starter who is goal-oriented, professional and a successful problem-solver. MAJOR JOB ACTIVITIES • Provide administrative support for the Executive Director including managing his schedule, and coordinating travel arrangements and meetings. • Manage and coordinate details for all board, committee and staff meetings, including development of meeting materials and documentation of minutes • Prepare expense reports for the Executive Director. • Manage the Executive Director's contact and media lists. • Understand the Executive Director's relationship with key contacts in order to provide the timely and appropriate interaction with each contact. • Develop and maintain filing systems • Format/edit letters and other materials for the Executive Director. • Maintain communication with contacts to assist the Executive Director when he is away from the office. • Order office supplies for the Executive Director. • Provide support to Pollinator Conservation Director and other Program Directors as needed. OTHER POTENTIAL JOB ACTIVITIES • General support to main office. • Proofread articles, reports and other documents by Xerces Society staff. REQUIRED SKILLS/KNOWLEDGE • College Degree or equivalent experience; • Background in nonprofit work (2+ years preferable), or background that provides similar experience; • Excellent computer skills, including use of Windows, MS Office software (Outlook, Word, PowerPoint and Excel), Adobe Acrobat, I-phones, internet and email; • Excellent written, communications, human relations, scheduling and time management skills. • Good judgment and high level of attention to detail; • Experience creating professional looking documents and correspondence; • Ability to juggle multiple tasks; • Dedication to environmental conservation (specific knowledge of invertebrates is not required); • Good sense of humor; • Proven ability to work as a member of a team; and • Ability to complete work with little supervision. TERMS: This is a part time position (20 hours per week). There is the potential for this to become a full time position in the future, with full-time benefits. SALARY: $15,000 to 17,000/year BENEFITS: Major holidays (prorated to ½ time) and one ½ weeks vacation are accrued after the first year of employment.
