Job Description: 

The Ohio Environmental Council (OEC) is seeking a key administrative staff member who is committed to working at an environmental non-profit organization and who is extremely proficient in Microsoft Access databases and Quickbooks accounting software.

The Administrative Associate is responsible for fulfilling bookkeeping tasks for the Senior Director of Administration, database management and mailing duties for development staff, and other administrative functions.

The Position: The Administrative Associate will work closely with and will be supervised by the Senior Director of Administration, and will interact daily with the OEC's Administrative Assistant, Senior Director of Advancement, and Executive Director.

Primary responsibilities include:

1) Bookkeeping

a) Process daily account transactions within Quickbooks, including accounts payable, accounts receivable, transfers, deposits, and balance maintenance.
b) Carry out bi-monthly payroll and monthly credit card account tasks.
c) Perform monthly bookkeeping tasks and internal controls, including Quickbooks data entry, monthly billing, copier and postage meter reporting, and bank account reconciliation.

2) Development

a) Manage the OEC's customized Access contact database, including data entry, data clean up, query development, report development, staff database training and possible transition to new database.
b) Perform mailings (logistics, queries, mail merges, letter customization, printing and postal needs), including donation thank yous, fundraising mailings, and development event mailings.
c) Communicate with OEC members as needed, including event coordination, expired credit cards, and incoming calls with membership status or donation inquiries.
d) Provide other administrative support to development staff, including credit card donations, and event logistics, RSVP lists, and event printing.

3) Clerical

a) Recruit and supervise administrative volunteers, development volunteers, and work study students assisting with basic administrative and development functions.
b) Coordinate and maintain various office equipment, including purchasing, vendor contact and reporting and repair services for the OEC's printer/copiers and postage meter.
c) Assist program staff with large projects, in regards to word processing, copying, and faxing, as directed by the Senior Director of Administration, and assist program staff at events with registration.
d) Provide customer service for SOAR Energy, including answering inquiries on rates and providing basic information to SOAR Energy customers.
e) Assist the Administrative Associate and the Senior Director of Administration with receptionist duties, including incoming phone calls and visitors.

4) Perform other tasks as directed by the Senior Director of Administration or Executive Director.

Qualifications: The minimum education qualification shall include graduation from a recognized technical program with an Associate Degree or similar training and at least two years of administrative experience.

The Administrative Associate must also have the ability to conduct his/herself in a professional manner in keeping with the image of the OEC, demonstrate strong organizational skills, and be willing to work both independently and with others as a team.

The Administrative Associate must be experienced with the following: Microsoft Office (Word, Excel, and Access), QuickBooks Pro, accrual bookkeeping/accounting, and other administrative activities. Commitment to environmental advocacy and a desire to work for a non-profit organization is highly desirable.
